In short: we only collect what's needed to run the VA and verify flights against IVAO, we never sell your data, we don't publicly display your last name or personal email address, and you can request a copy or deletion of your data at any time by contacting support@sa-virtual.net.

Saudi Arabia Virtual ("we", "our", "the VA") operates this website and pilot center as a flight simulation community affiliated with IVAO. This Privacy Policy explains what personal data we collect from our members, why we collect it, how it is used, and the rights every member has over their own data — regardless of nationality or country of residence.

1. How Membership Works

Membership is open to active IVAO members only. To register, a pilot is redirected to IVAO Single Sign-On (SSO) to log in with their IVAO account. Upon successful authentication, the pilot is redirected back to the Saudi Arabia Virtual pilot center, where they enter their preferred contact email address to complete registration. Membership is free of charge.

2. Data We Collect

The table below is an exhaustive list of the personal data we collect and process.

This list is exhaustive. It will be updated whenever the VA begins collecting any additional category of data.

3. Why We Collect This Data

To create and manage your pilot account within the VA.
To verify your identity and active status against the IVAO network.
To confirm you were connected to IVAO for the required portion of each flight (at least 95% of total flight duration) before validating a PIREP.
To calculate flight hours and rank progression.
To communicate VA news, events, and important account notices.
To maintain website security and prevent abuse or fraudulent PIREPs.

4. Your Rights (GDPR)

Regardless of your country or nationality, every member has the right to:

Access a copy of all personal data we hold about you.
Rectify inaccurate or incomplete data.
Delete your personal data and close your account ("right to be forgotten").
Restrict or object to certain processing of your data.
Export your data in a portable format.
Withdraw consent at any time where processing is based on consent.

To exercise any of these rights, contact us at support@sa-virtual.net. We will respond within 30 days. Deleting your account will remove your personal data from our systems, though anonymized flight statistics may be retained for VA record-keeping and IVAO reporting purposes.

5. Public Display Restrictions

Not displayed publicly: pilot last names and personal email addresses.
Allowed for public display: IVAO VID, VA/carrier callsign, first name, rank, and staff role-based company emails (e.g. operations@sa-virtual.net).

These restrictions apply only to publicly accessible pages of the website (e.g. public pilot roster, public leaderboard). Once a member logs into the pilot center, these restrictions are waived and full profile details relevant to VA operations may be shown to other logged-in members and staff as needed for crew pairing, event management, and administration.

6. Data Sharing

We share IVAO VID and flight connection data with the IVAO network as required for certification and PIREP validation.
We do not sell, rent, or trade member data to third parties.
We may use third-party services (e.g. hosting, email delivery) that process data on our behalf under their own privacy terms.

7. Data Retention

We retain personal data for as long as your account is active. Upon account deletion, personal identifiers are removed within 30 days, except where retention is required for legal, security, or anti-fraud purposes.

8. Security

We apply reasonable technical and organizational measures (encrypted connections, restricted admin access, regular backups) to protect your data against unauthorized access, loss, or misuse.
